Assign Filings to a User for Approval

As a lead clerk you are responsible to assign filings. If all of the clerks in your court are lead clerks this means that the court does not require filings be assign and expect you to take the next most important filing and process it.

As the lead clerk you can choose to either assign a filing to another clerk or approve a filing from this screen. To assign a filing you would go to the ‘Assign Selected Filings To’ pull down menu and select a clerk in the list. You would then check the entries that you want to assign to the selected clerk.

As the lead clerk you can enter a note which will go along with each submission you assign. This note will appear on the Approve Filings page when the clerk reviews the filing. The notes stay with the filing even if it is reassigned later.

Once you have selected the clerk you are going to assign filings to and entered a note if needed, you checked the filings to be assigned, and click the ‘Assign’ button. Those filings will then show up in the Filings awaiting Approval list for that clerk. In addition your list of filings that need to be assigned would be updated to show any filings that are unassigned.

In addition to unassigned filings the list of filings can be filtered to show the filings assigned to a particular person. The reason for the ‘Show me filings assigned to’ pull down menu is so that you can reassign filings.

For example if a clerk is out sick you can filter the list of filings based on the filings assigned to the clerk out sick. You can then go through the same process as described above to assign the filings to another clerk.

Each filing has a unique entry in the list. Following is a description of the columns:
